Clients
Purpose
Client records store applicant identity, contact, passport, visa, notes, checklist, document, and application information.
Create A Client
- Go to Clients.
- Select the new-client action.
- Enter required name details.
- Add nationality, visa type, email, phone, and passport details where available.
- Save the record.
Client Details
A client profile can include:
- Name and date of birth.
- Nationality.
- Passport number.
- Passport issue and expiry dates.
- Visa type.
- Email and phone.
- Notes.
- Checklist items.
- Documents.
- Linked applications.
Notes
Use notes for internal case history, follow-ups, and meaningful client interactions. Avoid storing unnecessary sensitive information in notes.
Client notes now support rich text formatting for internal use. They are not visible to the client portal user.
Add Or Update A Note
- Open the client.
- Find the Notes section.
- Add a new note with enough context for another staff member.
- Save it.
- Use the edit action to correct or clarify an existing note.
Delete a note only when it was created by mistake or retention is not required.
Checklists
Apply a checklist template to create a repeatable document or task list for the client. Checklist completion can be updated as documents are collected.
Linked Applications
Use linked applications to connect one client to one or more visa or matter records.
To link a client to a matter, open the Application and add the client from its Clients tab. Removing the link does not delete either record.
Client Portal Intake
When portal access is enabled from a linked Application, the client can confirm personal, contact, nationality, and passport details. Saved portal intake updates this Client record and notifies the owning staff user.
Review significant identity or passport changes before using them in an application.
Update A Client
- Open the client record.
- Select the edit action.
- Update identity, contact, visa, or passport details.
- Review date fields carefully.
- Save the changes.
Use the client email address the person can access because portal sign-in links are delivered to that address.
