Checklists

Purpose

Checklists help migration teams track required documents and tasks for clients and applications.

Checklist Templates

Checklist templates are reusable lists that can be applied to clients or applications. They are useful for common visa types or repeatable internal workflows.

During first-time workspace setup, you can create starter templates for Personal Documents, Education Evidence, Employment Evidence, Financial Evidence, and Health & Character. These are normal templates and can be edited or deleted from Settings > Metadata.

Create A Checklist Template

  1. Go to Settings.
  2. Open Metadata.
  3. Select Checklist Templates.
  4. Create a template name.
  5. Optionally add a visa type.
  6. Add checklist items.
  7. Save the template.

Apply A Template

Open a client or application, choose a checklist template, and apply it. Existing matching checklist items are skipped to reduce duplicates.

  1. Open the client or application.
  2. Open its checklist area.
  3. Select the template action.
  4. Choose the template.
  5. For an application, optionally enter a group name.
  6. Apply the template.
  7. Review the resulting items before sharing portal access.

Application Checklist Groups

Application checklists can be grouped. Use groups for evidence categories, applicants, stages, or document batches.

Create A Group And First Item

  1. Open the application’s checklist.
  2. Select the new-group action.
  3. Enter the group name.
  4. Enter the first checklist item.
  5. Save.

Add To An Existing Group

Use the quick-add field in the group, enter the new requirement, and save it.

Delete A Group

Deleting a group also deletes every checklist item in it. Review linked documents and portal requests before confirming.

Upload Against An Item

  1. Find the checklist item.
  2. Select its upload action.
  3. Choose the file.
  4. Wait for the upload to complete.
  5. Confirm the item is shown as uploaded.

Deleting the only linked file can return the item to an incomplete state.

Good Practice

Keep checklist items short and action-focused. Example: “Passport bio page”, “English test result”, “Employment reference”, or “Signed service agreement”.

Application checklist items are also the document requests displayed in the Client Portal. Use client-friendly wording and groups that clearly identify the applicant or evidence category.
